Job Description: Office Administrator
Reports to: Executive Director

Job Summary- The position of Office Administrator is critical to the life and success of the Saline Area Chamber of Commerce (SACC). This individual is the main communicator and record-keeper of all SACC operations.
Primary responsibilities include but are not limited to:
1. Public Relations
a. Publish all SACC communications to members and the public, including regular social media updates.
b. Create and distribute weekly SACC newsletters for updates, business information, and member highlights.
c. Maintain the SACC website, including member directory, event calendar, and all relevant information maintained through website communication.
d. Act as the publicist for all events and SACC communications (i.e. open house/ribbon cuttings, after hours, and press releases).
e. Provide direction to the publisher and design team on the annual business guide.
f. Design and order marketing materials used for SACC and members' promotions.
2. Member Relations
a. Actively recruit new SACC members by identifying, cultivating, and referring potential new members for further follow-up, while updating databases used to organize prospective members.
b. Research, develop, and enhance the services, benefits, events, projects, and programs for current SACC members.
c. Maintain the membership database and records by processing all new and renewing members (i.e. handling all invoices, applications, and informational updates).
d. Direct all SACC communications with the Board of Directors (BOD), including, but not limited to, the preparation of BOD agendas and minutes.
a. Reconcile monies paid for events, dues & operating costs so that the Treasurer and Executive Director can provide up-to-date reports to the BOD.
b. Implement and support fundraising campaigns for special projects and events.
a. Implement and coordinate SACC's special programs, projects, and events, including speakers, locations, entertainment, food, volunteers, fundraising and marketing.
b. Develop & maintain SACC volunteers by recruiting, coordinating meetings, overseeing the email list & communicating with volunteers on a regular basis.
5. Office administration
a. Maintain all SACC property on hand and in storage in an accessible, organized manner
b. Provide support for routine SACC office operations including, but not limited to, maintenance of SACC file systems, electronic data storage and record retention, electronic calendars, office supply orders, and mail processes (i.e. emails & postal mail)
c. Maintain lists for all SACC correspondence (i.e. email lists/mailing addresses)
d. Maintain calendar for each staff member according to each staff's duties
e. Greet and assist all visitors to the office providing information about members, the Saline area and surrounding communities
f. Assist with work planning and direction of interns, as needed
In addition to the above-listed responsibilities, applicants should understand that in a small staff environment there is a need for continued cooperation and shared working assistance among all paid staff, including the Executive Director. Deadlines for various events and for regular office workflow demands can vary among all staff and there needs to be an awareness of this and a
cooperative effort that sometimes extends beyond specifically assigned job responsibilities.
In addition, all paid staff are required to maintain a professional appearance both personally and with the SACC office, realizing a Chamber of Commerce's office appearance also reflects an image for our entire community.
High School diploma or other relevant certifications. A college-level degree is desirable. Ability to perform computer-related functions and maintain the SACC website. Must demonstrate competence with grammar, punctuation, sentence structure, proofreading, and filing. Good interpersonal communication skills and demonstrated familiarity with locations and basic directions in and around the Saline area.
Compensation / Hours
The position will pay $12 – $15 per hour, based on experience. The core SACC office hours are 10 am – 4 pm. This position will work 20 – 30 hours per week. Some occasional events will require work outside of the usual office hours.
